.. _gettingstarted: Getting Started ====================================== Matchbook is a data management and matching tool designed to help businesses maintain and optimize their data quality, improve data governance, and streamline data stewardship workflows. By centralizing data from multiple sources, Matchbook enables users to manage, cleanse, enrich, and match records to ensure accuracy and consistency across business functions. The tool's automated matching algorithms and data enrichment processes allow users to handle large volumes of records with varying confidence levels, effectively identifying and managing duplicate or conflicting entries. This document provides key concepts to familiarize new users with the platform features and workflow. Login --------- The first interaction of a user with an application is always significant. This section explains the process of logging up, creating a new account, performing authentication etc. The first step towards accessing the Matchbook application involves signing up as a user. Users are required to navigate to the designated sign-up section within the application. .. note:: New customers can create their own Matchbook AI portal through guided, self-service sign-up. See :ref:`onboarding` for the steps. A Freemium portal comes with preset defaults, described in :ref:`freemium`. There are various login options available, but users can only log in using the method configured for them at the user level. .. note:: Users with admin privileges can add other users to the platform. Depending on the organization's security settings, users may also need to complete multi-factor authentication (MFA) to access their account securely. .. figure:: _static/gettingstarted/gs4.png *Login using Okta* Send Sign in Link +++++++++++++++++++++ For the password less option, a login link is sent via email. By clicking on the link, the user can log in without needing a password. The user will only see the Sign-in page during this process. This method provides a convenient and secure way to access the system without remembering a password. The link is time-sensitive and can only be used once, ensuring additional security for the login process. .. figure:: _static/gettingstarted/gs5.png *Generate Login Link* .. note:: * During onboarding, when access to the portal is granted, a user login is created to allow the individual to securely access the platform. This login method is configured according to the organization's chosen authentication settings. All these login features are enabled and configured from the backend to ensure proper access control and security settings for users. * The Global Admin is responsible for adding users and can do so directly from the platform by navigating to the Settings section, then selecting the Portal and going to the Security tab. This allows them to manage add, edit user access and permissions efficiently. There can be multiple global admins. Forgot Password ---------------- The Forgot Password feature is applicable only for Matchbook providers, allowing users to reset their passwords securely if they are unable to remember them. It will send an email to the user containing a link to reset their password, allowing them to securely create a new password for their account. .. figure:: _static/gettingstarted/gs6.png *Forgot Password* This link directs the user to a secure page where they can create a new password. It is important to note that the link is time-sensitive and can only be used once to enhance security. By allowing users to reset their passwords through this method, the system ensures a seamless recovery process while maintaining the integrity and safety of user accounts. Import Data +++++++++++++ Upload and integrate external data files into Matchbook. Administrators can initiate, monitor, and troubleshoot data imports to maintain data flow into the system. Data Stewardship ++++++++++++++++ Manage low-confidence records that require user verification. This tool allows administrators to review and validate records to maintain data integrity. Prospecting ++++++++++++ Identify and search for new business leads using integrated or external data sources (e.g., D&B). Apply filters to find potential clients, partners, or markets with relevant insights. Export Data ++++++++++++ Export processed and validated data to other systems or teams. Options include customizable formats to ensure compatibility with various platforms and workflows. Compliance +++++++++++ Manage compliance standards within Matchbook, ensuring data activities meet regulatory requirements and internal data policies. Essential for legal audits and data security. Reports ++++++++ Generate detailed reports on data processing activities, match accuracy, API usage, and enrichment outcomes. These reports help administrators monitor performance and make informed decisions. Settings +++++++++ Access configuration options for platform preferences, role management, and system-wide settings to optimize Matchbook for organizational needs.
